Please note: Submitting this form does not reserve or guarantee a date. A date is only confirmed after written approval, completion of the required agreement, and full payment of the studio invoice.

How traveling model & workshop dates work

Traveling model events and independently organized workshops are treated as studio rentals. The person or organization requesting the date is the event organizer and is responsible for operating the event — talent, bookings, payments, promotion, attendees, communications, refunds, releases, and overall production. 360ism Studios provides the approved space and any services specifically listed in the rental agreement. Expand each section below for full details.

The organizer is responsible for

The person or organization requesting the date is considered the event organizer and is responsible for operating the event. This includes:

  • Paying all models, assistants, instructors, makeup artists, stylists, and other team members
  • Establishing the event format, schedule, rates, and photographer capacity
  • Creating the registration or booking system
  • Collecting attendee payments
  • Managing refunds, cancellations, disputes, and chargebacks
  • Communicating with photographers and participants
  • Promoting the event and creating flyers and promotional materials
  • Securing model releases and participant agreements
  • Making sure every participant is at least 18 years old when required
  • Following all studio rules, safety requirements, and content restrictions
  • Leaving the studio in the same condition in which it was received

360ism Studios does not guarantee that an event will sell out, generate a specific amount of revenue, or attract a certain number of photographers.

Studio-sponsored events

360ism Studios does not routinely sponsor, finance, manage, or assume the financial risk for traveling model studio dates.

A studio-sponsored event may occasionally be created when there is a strong strategic fit, proven local demand, an established working relationship, and a clear benefit to the 360ism community. These opportunities are limited and generally offered by invitation.

Submitting this request does not create an obligation for 360ism Studios to: pay the model a guarantee, cover travel or lodging, produce the event, manage registration, provide free studio time, create promotional graphics, advertise the event, provide equipment at no charge, supply a photographer, or guarantee bookings or attendance.

Applicants should approach the request as a professional studio rental unless another arrangement is provided in writing.

Payment & date confirmation

Studio dates are not held based solely on a conversation, direct message, verbal agreement, flyer draft, or form submission. A date becomes confirmed only after:

  • The request has been reviewed and approved
  • The organizer receives a written quote or invoice
  • The applicable studio agreement has been completed
  • Full payment has been received
  • The organizer receives written confirmation from 360ism Studios

Do not announce, promote, sell tickets for, or accept photographer bookings for a studio date before receiving written confirmation. An unpaid invoice does not reserve the date. Another client may book the requested date until payment and the required agreement have been completed.

Promotion & use of the 360ism name

The rental of 360ism Studios does not automatically include event promotion. Organizers are expected to have their own audience, photographer contacts, promotional plan, registration process, and marketing materials.

360ism Studios may choose to share an approved event through one or more of its platforms, but promotional support is not guaranteed unless it is specifically included in a written agreement. The following rules apply:

  • The event must be described as taking place at 360ism Studios, not as being produced, sponsored, or hosted by 360ism unless approved in writing
  • The 360ism Studios logo may not be used without permission
  • The Influencer Model Group name, logo, community, mailing list, or social platforms may not be used without permission
  • All flyers must accurately identify the organizer
  • Advertising must not imply that 360ism guarantees the event, the model, the attendees, or the final images
  • The organizer must remove or correct misleading promotional material when requested
  • Any promotion performed by 360ism is supplemental and does not replace the organizer's responsibility to market the event

Paid promotional, graphic design, content production, email marketing, photography, or video services may be quoted separately.

Nearby events & market conflicts

Traveling models and organizers must disclose other scheduled studio dates, workshops, appearances, or photography events in the Richmond area that occur shortly before or after the requested date.

Booking another nearby studio does not automatically disqualify an applicant. However, undisclosed competing dates can weaken photographer demand, create confusion, and affect whether 360ism is willing to promote or collaborate on the event.

360ism Studios may decline to promote an event when: the model has another nearby appearance within a similar timeframe; the competing event targets the same photographers; the market is being oversaturated; promotional messaging is unclear or conflicting; another studio is promoted while 360ism is omitted from the model's public schedule; or the organizer has not been transparent about other regional dates.

Applicants requesting promotional support must provide a complete and honest schedule of nearby appearances.

Registration, ticketing & photographer bookings

The organizer is responsible for selecting and operating the registration system. This may include a personal website, WooCommerce, Eventbrite, PayPal, Stripe, Square, a professional booking platform, direct invoicing, or another approved method.

The organizer is responsible for setting prices, collecting payments, issuing confirmations, managing booking times, maintaining an attendee list, processing cancellations, issuing refunds, handling payment disputes, communicating schedule changes, and ensuring attendees understand the content level and rules.

360ism Studios is not responsible for money collected by an outside organizer. The organizer must provide 360ism Studios with an updated attendee list when requested.

Event capacity & scheduling

The proposed schedule must allow enough time for organizer arrival, model preparation, equipment setup, lighting tests, photographer check-in, shooting sessions, breaks, set changes, cleanup, and departure.

Setup and cleanup must occur within the paid rental period unless additional time has been purchased. The organizer may not enter before the approved start time or remain after the approved end time. Overtime is subject to studio availability and may be billed at the applicable hourly rate or overtime rate.

The number of photographers must be appropriate for the event format, available shooting space, number of models, and amount of equipment being used. 360ism Studios may reduce the proposed capacity when necessary for safety, comfort, workflow, or building requirements.

Public & ticketed events

Publicly promoted or ticketed events may require additional approval, staffing, security, insurance, or documentation. Depending on the event size and format, the organizer may be required to provide:

  • A final attendee list
  • Proof of liability insurance
  • Licensed security personnel
  • Additional studio supervision
  • Event staff
  • A detailed floor plan
  • A written schedule
  • Emergency contact information
  • Releases or waivers
  • Proof of age for participants

Any required security or staffing is paid for by the organizer. Small photography workshops may still be subject to these requirements when the event is publicly promoted or involves content, equipment, or activities that require additional supervision.

Models, content levels & closed sets

All proposed photography genres must be disclosed before the event is approved. Examples include commercial, beauty, fashion, lifestyle, editorial, glamour, swimwear, lingerie, implied, topless, fine-art nude, figure photography, and creative or conceptual content.

No organizer may advertise one content level and pressure a model to perform another. All participants must understand the approved content levels before purchasing or accepting a booking.

For implied, topless, nude, or other adult-oriented photography:

  • Every model and photographer must be at least 18 years old
  • Age verification may be required
  • The model's boundaries must be clearly communicated
  • No touching is permitted without direct consent
  • No unauthorized video or behind-the-scenes recording is permitted
  • Closed-set rules may be required
  • Only approved participants may remain in the shooting area
  • No participant may pressure, harass, intimidate, or attempt to renegotiate a model's boundaries during the event
  • The organizer must immediately report inappropriate conduct to studio management

360ism Studios reserves the right to remove any person who creates an unsafe, disruptive, disrespectful, or unprofessional environment. Removal from the studio does not create an obligation for 360ism Studios to issue a refund.

Rain set & specialty set requirements

The rain set and other water-based productions require additional preparation, supervision, and safety procedures. Every person participating in a rain-set production may be required to sign a safety and liability release before entering the set.

Additional requirements may include an on-site studio representative, approved footwear, towels and dry clothing, controlled access to the shooting area, limits on electrical equipment near water, protected lighting placement, additional setup and cleanup time, a water-set fee, a refundable or nonrefundable damage and cleaning charge, and additional insurance.

No water, liquid, oil, glitter, paint, smoke effect, fog effect, powder, confetti, body paint, open flame, or similar material may be used without prior written approval.

Equipment & studio resources

The standard rental does not automatically include unrestricted access to all studio equipment. Organizers should identify everything they plan to use, including strobes, continuous lights, RGB lights, light stands, C-stands, modifiers, triggers, seamless paper, projectors, speakers, furniture, props, fog or snow effects, rain-set equipment, tub or bed setups, suspended props, and rooftop or balcony areas.

The organizer may bring approved equipment into the studio and is responsible for knowing how to operate personal equipment and any studio equipment included with the rental. 360ism Studios may require an assistant when specialized equipment or sets are used.

Professional conduct

All organizers, models, photographers, assistants, and guests are expected to behave professionally. The following are not permitted: harassment, unwanted touching, aggressive behavior, intoxication, illegal drugs, weapons, undisclosed recording, unauthorized guests, damaging or misusing studio property, blocking building entrances or hallways, entering restricted areas, ignoring model boundaries, creating content that was not disclosed, selling access beyond the approved capacity, remaining in the studio beyond the booked period, and misrepresenting the event as a 360ism production.

360ism Studios may stop an event when safety, building rules, studio policies, or professional standards are being violated.

Cancellation & schedule changes

The organizer is responsible for understanding the cancellation and rescheduling terms included in the final studio rental agreement. The organizer should not assume that a payment is refundable because the model's travel plans changed, photographer bookings were lower than expected, the event did not sell out, another studio date performed better, the organizer failed to promote, a participant canceled, transportation or lodging became more expensive, the event was advertised before final approval, or the organizer selected an unprofitable date or schedule.

The organizer is responsible for creating an event plan that accounts for normal business risks. Any change to the event date, time, organizer, model lineup, attendance, format, or content level must be approved in writing.

What we consider when reviewing a request

Requests may be evaluated based on studio availability, professionalism, completeness of the application, organizer experience, model portfolio and presentation, local photographer demand, proposed event format, realistic pricing, number of competing dates, marketing plan, previous event history, safety requirements, requested content levels, equipment and staffing needs, past conduct at 360ism Studios, communication and response time, and alignment with the 360ism community and brand.

360ism Studios may approve, decline, or suggest changes to any request. A declined request is not necessarily a judgment about the model's talent or value — some dates or event concepts may not be appropriate for the studio schedule, local market, or available resources.

Frequently asked questions

Will 360ism Studios sponsor my traveling model date?

360ism Studios does not routinely sponsor traveling model events. Most requests are handled as standard studio rentals. Selected studio-produced collaborations may be offered by invitation.

Can the studio pay me a model guarantee?

A model guarantee is not included with a standard rental. Any guarantee must be funded by the organizer unless a separate written arrangement is approved.

Will 360ism promote my event?

Promotion is not automatically included. The studio may choose to share an approved event, but the organizer remains responsible for building attendance. Paid promotional services may be available.

Can I use the 360ism or Influencer Model Group logo?

Not without written permission. Renting the studio does not authorize the use of the studio's logos, mailing lists, groups, or brand assets.

Can I announce the event before paying?

No. Do not announce the date, create a public event page, sell tickets, or accept bookings before receiving written confirmation.

Can I book on a Saturday or Sunday?

Weekend dates are available, but the main studio generally has limited availability between approximately 9:00 AM and 4:00 PM. Evening dates may be easier to accommodate.

Can I use the rain set?

The rain set may be available with advance approval. Additional fees, supervision, safety requirements, and signed liability releases will apply.

Can I produce a nude photography workshop?

Adult-oriented content must be fully disclosed and approved before the event. All participants must be at least 18 years old, and additional closed-set, release, conduct, and age-verification requirements may apply.

What happens if the event does not receive enough bookings?

The organizer remains responsible for the studio rental and any commitments made to models, staff, or attendees. Low registration does not automatically create a refund or cancellation right.

Does submitting the form hold my requested date?

No. The date remains available to other clients until the studio confirms the booking in writing after payment and completion of the required agreement.
